Camp Student Policy & Waiver
Welcome to iCode Memorial! We’re excited to have your student join us for summer camp. To help ensure a safe, fun, and productive experience for all, please review the following policies that apply specifically to our camp programs.
Registration & Billing
Tuition & Fees: Full camp tuition is due at the time of registration. Campers must be paid in full before attending.
Deposits: If a deposit was used to secure a spot, the remaining balance is due before the first day of camp. Deposits are non-refundable.
Late Pickup Fee: A $30 fee will be charged if your student is picked up more than 10 minutes after the end of camp. Please communicate with us if you anticipate being late. Extenuating circumstances, such as a flat tire or accident, will be considered on a case-by-case basis.
Camp Cancellation & Refund Policy
We understand plans can change! Here's how cancellations and refunds work:
Parent-Initiated Cancellations:
One Month or More Before Camp Start: A full refund minus a $25 processing fee will be issued.
Two-weeks Before Camp Start: A 75% refund will be issued.
Less Than Two Weeks Before Camp Start or No-Show: No refund will be issued.
Transfer Requests:
Transfer to another available week may be permitted with at least two-weeks’ notice. Transfers are subject to availability and cannot be guaranteed.
iCode-Initiated Cancellations:
If iCode cancels a camp due to low enrollment or unforeseen circumstances, families will have the option to receive a full refund or transfer tuition to another available week.
Missed Days:
No refunds or credits are issued for individual missed days due to illness, travel, or personal schedule conflicts.
Special Situations: If you have a unique circumstance, please reach out. We’ll do our best to help!
How to Cancel or Transfer:
Requests for refunds or transfers must be made via email to [your email address]. The date of your email will determine eligibility for a refund or credit.
Arrival & Dismissal
Check-In: Students may arrive up to 5 minutes before camp begins. Please check in at the front desk each morning.
Check-Out: Parents must come inside to pick up students. Students will not be released to the parking lot unescorted.
Authorized Pick-Up: Only approved adults may pick up a student. Please notify us in writing if someone new will be picking up your child.
Media & Photos
We occasionally take photos and videos during camp to highlight student projects and activities. These may be used in newsletters, internal materials, social media, and other promotional platforms to showcase the iCode experience.
At the time of registration, parents will be asked to accept or decline the Photo & Media Release Waiver.
Please let us know in writing if your media preference changes at any time.
Student Expectations
Behavior: Campers are expected to follow instructions, be respectful, and contribute to a positive environment. Disruptive behavior may result in dismissal from camp without a refund.
Technology Use: Students will have access to iCode computers and must follow our Acceptable Use Policy. Misuse may result in revoked access.
Cell Phones: Phones must remain put away during camp hours unless permission is given by an instructor.
Food & Drink: Lunch and snacks should be eaten in the lobby or designated areas only. No food or drink is allowed in the classrooms.
Dress Code: Campers should wear comfortable, school-appropriate clothing and rubber-soled shoes. Please leave valuables and jewelry at home.
Technology Use Policy
Students will have access to computers, software, and other tech tools as part of camp activities. Personal devices (phones, tablets, etc.) should remain in backpacks unless directed by an instructor.
Any attempt to:
Access inappropriate websites,
Tamper with or damage hardware/software,
Use another student’s account,
Install unauthorized software,
may result in loss of access and/or dismissal from camp.
Student Computer Account Use
When using an iCode computer account, students agree to:
Accept personal responsibility and follow all usage policies.
Use computers only for classwork.
Be the sole user of their assigned computer accounts.
Notify instructors immediately of improper or suspicious activity.
Students must not:
Use obscene language or display offensive images.
Harass, insult, or attack others.
Damage computers or systems, or violate copyright laws.
Use someone else’s credentials unless assigned.
Access or misuse folders or data not intended for them.
Use the network for personal business or commercial purposes.
Failure to follow these guidelines may result in restricted access or permanent removal from computer systems.
Parents will be held financially responsible for willful damage to iCode property by their student.
Internet Use Guidelines
While iCode staff actively guide and monitor student computer usage, we cannot supervise every online interaction.
Students must:
Use internet resources responsibly and appropriately.
Understand internet access is a privilege, not a right.
Know that files on the iCode network are not private and may be reviewed.
Families are encouraged to reinforce responsible digital behavior at home.
iCode reserves the right to revoke access for any user who violates acceptable use, school policy, or applicable laws.
Acceptable Use Policy
Students must:
Protect their passwords and login information.
Respect others’ privacy and digital property.
Avoid any form of system tampering, impersonation, or unauthorized access.
Follow all copyright and intellectual property laws.
Use iCode resources for educational purposes only.
Violation of these rules may lead to disciplinary action and loss of computer privileges.
Waiver of Liability and Hold Harmless Agreement
By enrolling in any iCode activity, including summer camps, I, on behalf of myself and any minor child(ren) for whom I can legally contract, acknowledge and agree to the following:
I voluntarily wish for my child to participate in iCode activities and understand the nature of such programs.
My child will follow all instructions and safety protocols given by iCode instructors and staff.
If I become aware of any unsafe condition or concern, I will withdraw my child from participation until the issue is resolved.
By enrolling, I agree to RELEASE, WAIVE, and HOLD HARMLESS iCode and its affiliates from any liability related to illnesses.
I further agree to:
Indemnify and defend iCode from any claims arising from illness or injury during participation.
Waive my right to a jury trial related to this agreement.
Acknowledge that this agreement is legally binding and voluntarily accepted.
